Are you ready to add new customers to your Paythepoolman account? Here are the steps to help you do that.
1. Navigate to the Customer tab on the black sidebar of your Company Dashboard
2. Click on the blue tab to the right of your screen, + Add Customer
3. Fill in all the contact information
4. Select the date the customer was added
IF you would like to add this customer to your AUTOBILLING, scroll down this same screen, select and Billing Details:
1. Select if the customer will be billed on your Primary or Secondary billing cycle. Most companies use only one billing cycle. Secondary Billing Cycle can be used for special billing cycles, commercial accounts, or other scenarios.
(Note: Customers can only be assigned to ONE billing cycle)
2. Select the Billing Cycle - Flat Rate, Per Service Stop, or Bill by Weeks Serviced.
Billing Rate MUST be chosen in order for customer to be ACTIVE in autobilling.
3. Select your preference for sending the invoices - Print, Email, or Print & Email
4. You can also select the “Auto Charge for Chemicals Used?” option.
(Note: These settings will also have to be turned on in your Company Settings)
5. Select from the drop down list to add the “Item to Bill when you Run Your Billing”
(Note: You can adjust these to your preference)
6. Select either Previous Month, Current Month or Next Month. This selection will automatically be pulled into your
invoices when you run your monthly billing.
Below this section, IF you want to add this customer to a service/maintenance ROUTE - select Service Route Details
(Note: These options can all be customized by going to the Plus Dashboard from the sidebar of the main page. You must have created an EMPLOYEE PROFILE in order to assign )
1. Select the day you want the customer to be serviced
2. Select which technician you want this route assigned to
3. Add any special notes you want your technician to see when they service that customer
(Note: These are internal notes only and will never be seen by your customer)
And you're all set!
